Pre-Season Delegation Bulletin: Summer Social Events, Volunteer Opportunities, Meetings‏


Hope you've been having a great summer! I know some of you are headed to college soon and we wish you a lot of luck on your big adventure. All returning delegates and recent grads are included in this message because we hope those of you in town will join us for our social events and help get the word out to prospective delegates.

Grab your calendars and save these dates ASAP! Blue dates are "pre-season" social and recruiting events, open to all. Green dates are items of note for the regular program year. I need RSVPs for our two social events.

Saturday, August 1, 12p-3p: Summer Social Event #! - Movie day at the YMCA! Join us for snacks and an appropriately themed movie at the YMCA. Your RSVP is very much appreciated. Let me know if you can make it and if you plan to bring along any friends. All are welcome. Meet in Studio B in the Sacramento Central YMCA (2021 W Street) We'll provide some food, but feel free to bring a treat to share as well (not required)

Friday, August 8, 5:30-9:30pm: Volunteer Opportunity - help out watching K-6 graders at the YMCA Parents' Night Out. We need 6-8 volunteers. Who's in?

: Summer Social Event #1 - Laser Tag at Country Club Lanes! Take your best shot - beverages, snacks, and one Laser Tag game per-person will be provided. Your RSVP is essential! Let me know by Wednesday, August 13 if you can attend and how many prospective delegates you'll be bringing along.

It's attached (again) to this email. So is a reference guide (for the gals). 

4.) Arrival Day NotesThis is a preview of what I'll be giving you on Thursday if you want to read ahead. Note: there may some changes to this document between now and your arrival on Thursday. You don't need to print this. Save a tree.

5.) CONA, Youth Board, and Awards applications should be submitted by the end of the day on February 12.

6.) Tell Us When It's Your Moment!There's nothing that warms an advisor's heart like catching one of you doing your thing in your program area. So if you're about to present your bill, make your lobbyist pitch, give a big speech, do ANYTHING you have advanced warning about, GroupME us about it. We want to be there to cheer you on. Quietly and non-embarrassingly, we promise. Or at least we'll do our best.

Delegation Bulletin #21: T-Minus 10 . . .‏

1.) Meeting Schedule -
This week's meeting is MANDATORY for all delegates and high encouraged for parents (especially parents of new delegates). It will run from 6pm to 7:30pm We will be reviewing important information for Sac Conference. We also we have a training for the YMCA's Annual Campaign. This yearly fundraising drive benefits all YMCA programs including Youth & Government and, because we love our program and our community, we're all going to be participating in the Annual Campaign this year. All delegates will serve on a campaign team. Parents are more than welcome to join as well. I do not predict that this will be a significant demand on your time - probably an hour or two outside of the 2/5 meeting. Please arrive on time.

2.) Meeting Location - back to our usual place - the Board room at 1926 V Street.

3.) Payments -
If you still owe payments, you should know how much you owe and you should either a) be bringing your final payment this week or b) have checked-in with Christiana regarding an alternative payment schedule. Please, please, please remember your final payments.

4.) Community Service - We need to have completed 8 delegate-hours of community service by 2/13. Which is easy to do. Get it done!

5.) CONA Apps and Youth Board recommendations/notice -
The CONA Deadline is earlier this year. You must have your application completed online prior to Thursday, Feb 13. Our delegation has a great tradition of delegates being selected to attend - most recently Tony Brisson! Please submit your application and all other requirements on or before Thursday, February 13, 2014, including references, video submissions, and financial aid application (optional.) Delegation Bulletin #20: And then there were two [meetings]

1.) Bob 2 Survey -

2.) Meeting Schedule -
We'll meet this Wednesday, 1/29. We will again be meeting in the CDC rather than our usual location. So you'll enter view the W Street, lower parking lot, NOT the V St entrance.

And next week, our February 5 meeting is MANDATORY for all delegates and high encouraged for parents (especially parents of new delegates). If you're a 9th-11th grader, you should apply to be one of the lucky delegates who gets to serve on Y&G's Board of Directors. Selected delegates will serve for one year on the body that governs Y&G. Bob II Schedule & Reading Test Results

Reading Test Results: Thank you to Tony, Jordyn, Bailey, Anna, Maret, Holly, and partial credit to Ariel. If your name doesn't appear in this list, please catch up with Delegation Bulletin which can be found here.

Bob II Schedule
As ever: please review the schedule. You don't need to print it now, you'll receive a copy on Saturday. Bring a highlighter with you to mark-up your schedule. The location of the Saturday "barracks" meeting will depend on our assigned barracks - which we won't know until we arrive. No schedule session is optional aside from social events. if you have a session assigned, you must attend. If you don't feel well at any point, please tell an advisor or program staff and, if necessary, report to the medic (See map). You are not permitted to return to the barracks during an assigned session elsewhere unless it is to use the restroom or retrieve something (badge, etc).

We have three candidates running for positions during this conference. Aside from making sure you eat and stay hydrated, all delegates are expected to make themselves available to help our candidates however they need during free time and meal times.

Political Party Conventions: All delegates required to attend one.
Voting: Caucus style voting takes place Sunday evening. We will select our meeting place dependent on barracks assignments. All delegates required to attend.

1.) Payments: About half of you have received payment updates this morning. The other half we expect to have information out to by tomorrow evening. The final payment deadline is next Wednesday, January 15. The final payment amount is $160 (I had a typo in the previous email, sorry about that). If, after you receive your payment status update,  you need additional time for payments, just let your advisor know. Thanks for your patience on this!

2.) Bob II: Here you'll find the information we distributed at last night's meeting regarding Training & Elections Conference II (Bob II). Parents, please read the parent letter regarding departure and return times. If you have any questions about what to bring, etc, please let me know.

3.) Meeting Attendance: Finally, next week's meeting is mandatory for all delegates and parents are invited, but not required, to attend.

                    3a.) Special note about Jan 15 location and READING TEST: next week, the Y Board is holding a meeting in our normal location. So we will meet in the Child Development Center next door. Please *do not* enter the building using the V Street Entrance. Instead, you'll enter via the lower parking lot accessible on W Street (where the buses pick us up for conferences). Your advisor will love you forever if you reply to this email telling her where you'll show up to the meeting next week. But wait, there's more . . . .

3b.) Reading Test Two: Looking ahead - from April 4-6, Y&G holds Spring Conference. It's a mini-weekend camping trip to the Corcoran YMCA (another in-the-middle-of-California locale). We do not know yet whether we'll be participating, but we'd like to know delegate interest. This event is open to all delegates, including potential new delegates for next year. It's a great opportunity to introduce people to Y&G without the full year commitment. It would likely require you to miss part or all of school on Friday, April 4. We would travel either by Amtrak train or by bus. The cost is anticipated to be between $200-250, with limited financial aid available. And we'll stay in tents on the lawn of the Corcoran YMCA (which is pretty easy camping, actually, with full access to bathrooms, showers, the pool, etc, at the Y). If you are interested in attending, let me know. Indicate how likely you would be to attend. Spring Conference also involves 3 meetings or so in advance of the conference.

4.) Conference Attendance: Attendance at the final two conferences is mandatory, barring certain, very rare, exceptions. I know finals are a concern for some delegates right now. Hopefully, you have managed your time in preparation for the trip. There will be study time during the conference in the evenings and, depending on your program area, some during the day as well. These conferences are the good part (and what most of your program fees go towards) - don't miss out!

5.) Community Service: We heard some great ideas last night. If you brought an idea, bring more specifics next week. Community service projects are delegate organized and delegate led. (i.e.: go for, y'all!) Regarding Delegation of Distinction criteria, our delegation must log .5hr/delegate. That's not very much. Delegation Bulletin #18: Wahoo, Bob II!‏

Happy New Year!

1.) Meetings: We will be meeting this Wednesday, January 8. Regular time and place. Next week's January 15 meeting is MANDATORY as it is the final meeting before we leave for Bob II. This week, we'll discuss fun opportunities like CONA and NJC. We'll also have time for candidates to share what help they are looking for in their campaigns and what we as delegation can do to support those running. Candidates - come prepared!

2.) Conferences: The next conference, Training & Elections Conference II (or Bob II), is January 18-20. It's a Saturday-Monday conference and we'll again be departing in the 3:30a-4a range. Prepare yourselves by getting extra sleep now. The final conference is February 13-17.
Both conferences are mandatory. (Also, really fun.)

3.) Payment Deadline: The final payment deadline is this Wednesday. A $260 payment is due. If you are waiting for an update on the amount you owe, we hope to have that to you prior to the meeting. Thank you for your patience.

4.) Hotel Rooming Preferences:
For Sac Conference, we will have 3 Gal Rooms and 2 Guy Rooms.
a.) 4 person gal room
b.) 4 person gal room
c.) 3 person gal room
d.) 2 person guy room (will be shared with 2 El Do delegates)
e.) 3 person guy room
Some rooms have 2 queen beds, some rooms have 1 king bed. We have little control over what kind of room will be available or assigned to groups. At least two people in each room should bring sleeping bags, pillows, etc, with them for floor camping. Some delegates all share beds. Some delegates don't share beds. Some rotate bed and floor assignments. That's all up to you.

5.) Community Service: we need to do some good. Who has project ideas? Bring ideas to our next meeting. You should know a) the organization, b) the project, c) the date/time/duration of the opportunity, and d) how many volunteers might be needed.

Sac Rack: And if you're cleaning out your closets and have Sac attire that's no longer your style or doesn't fit, set it aside to bring to Bob II's Sac Rack, a clothing exchange to help ensure everyone in the program has access to dress-code compliant professional attire.  Questions about the dress code and Sac attire - hmmm, where should you go? Note: Don't bring Sac Rack donations to your advisors. Bring them to Bob 2. Thanks!

Delegation Bulletin #17: Bill Boxes and Parties and no 12/18 meeting

The Holidays are here! We will *not* be meeting tonight, Wednesday, December 18, due to a high number of delegates already off on their holiday adventures. And, of course, we'll take a break for Christmas Day and New Year's Day. But never fear: there are still at least two planned meet-ups between now and the return of regular meetings on January 8. Of course, elected office candidates might want to rally the troops for sign making and planning . . . .

So here's what you need to know for the rest of 2013:

1.) Bill Boxes: We will meet at the Y&G office (2555 3rd Street, Suite 215 Sacramento CA 95818 - it's a little hard to find, it's in industrial downtown, NOT at our YMCA) at 10:00 am on Friday, December 27 to assembly bill boxes and earn our delegation $500 in grant money. It'll be fun!

2.) Holiday Alumni Mixer: On December 27, Rob and Christiana will be holding a Holiday Mixer at our house in Natomas for current and former delegates from 6-8pm. Per your request, wear your holiday best. We'll have some snacks and treats for you. Parents are welcome. The FB event is here: https://www.facebook.com/events/1435522436663908/  You can either RSVP there or by emailing Christiana. Your RSVP will get you the address. Please RSVP whether you plan to attend or not so I know you received the invitation and I know for how many people we should plan. RSVPing is polite and delegates who do it will be admired forever more.

3.) Community Service: we need to do some good. Who has project ideas? Bring ideas to our Bill Box day for us to chat about while we file. 4.) Sac attire: Sac Conference is a mere 8 weeks away. If you're finalizing your Christmas list or hitting those after-Christmas sales, don't forget to nab some deals on professional attire so you can be stylishly in dress code for our final conference. Sac Rack: And if you're cleaning out your closets and have Sac attire that's no longer your style or doesn't fit, set it aside to bring to Bob II's Sac Rack, a clothing exchange to help ensure everyone in the program has access to dress-code compliant professional attire.  Questions about the dress code and Sac attire - hmmm, where should you go?

5.) FLIP The folks running the Female Leaders In Power group would like you to know that if you are interested in participating you can click here to let them know. Delegation Bulletin #16: It's Festival Time!‏

1.) Elected/Appointed Leadership apps due Friday, Dec 13: Must be approved by Christiana. You must text/call Christiana to let her know when your application is ready for approval. Do it ASAP. Don't wait for the last minute!

2.) Swim With Santa: Maret, Jordyn, Sarina, Calvin, and Tony have indicated they will attend Swim With Santa on Friday, December 13. The rest of you are welcome to attend as well! You should be there 5p-9p if you can. (Alternatively, you can be there 5-7 or 7-9). If you want to be a "pool elf" you need to bring your swim stuff (swimsuits should be one-piece). 

Also - those who are there should make sure to promote the Festival on Sunday. Mia is going to make flyers. See if someone can station him/herself by the door toward the end of the event to hand out flyers to people!

3.) Volunteers still welcome on Sunday, too Parents, Delegates, Friends, Lend us your time! We're still looking for some elves to help at our Holiday Festival on December 15:  http://goo.gl/ijP1XY We need another 5 or 6 people to make sure we have coverage for the day.

4.) If you really want some bonus points: There are youth sports events at the Y on Saturday morning and someone there handing out flyers for the Festival would be pretty smart, right? Any takers? 
5.) If you haven't filled this out yet: Once again this year we will be assisting the Y&G head office with assembling the boxes of the entire program's bills. Delegation Bulletin #15: Holiday Festival! Secret Santa! Fun!

1.) Volunteers STILL Needed! Parents, Delegates, Friends, Lend us your time! We're still looking for some elves to help at our Holiday Festival on December 15:  http://goo.gl/ijP1XY We need another 5 or 6 people to make sure we have coverage for the day. Don't leave us at a bare bones crew, y'all.

2.) Last week was a payment deadline for a $260 payment. If you didn't bring one, bring it to the next meeting. If you need confirmation of what you owe, let me know.

We need help this coming Sunday, December 8 at the Antique Fair http://sacantiquefaire.com/location/
I need 3-5 delegates to pass out flyers at the event from 7am to 11am. I know it's early. I also know it's important. Please help.
I need the same or another 3-5 delegates to walk midtown and ask businesses to display our flyer for our event. 11am-?
We have the vendors, we have Santa, we have a Food Truck, but if we don't have shoppers, we don't have an event. The goal is to make this our one, big fundraising event of the year. We need ALL of your help to ensure its success.  No one at our last meeting signed up to help this weekend. This is tremendously disappointing. Please step-up.

4.) Secret Santa! We will do our Secret Santa Gift Exchange and Holiday Campaign Sign Making Party at our December 11 meeting. Gifts can be up to $10 in value. Have fun with them! If you do not know who you are assigned to serve as Santa for, let me know ASAP. Everyone should have their assignment and the info on their person.

4a.) Our Wed, Dec 11 meeting will be half Holiday Party and half sign-making party. Delegates running for office who would like help making signs should bring all materials and a plan for sign-making. Remember to track your materials for financial reporting purposes.

5.) Bill Boxes: Once again this year we will be assisting the Y&G head office with assembling the boxes of the entire program's bills. It's not a hard job and we'll have fun hanging out. Please complete this form to let me know your availability for this project: http://doodle.com/bbs72kngnmr63xbv

6.) Swim With Santa: Friday, December 13 - thank you to Maret, Jordyn, Sarina, and Calvin who have signed up to volunteer at Swim With Santa next Friday. Some more helpers would be great. Helpers are needed either from 5pm-7pm, 7pm-9pm, or for the whole event from 5-9pm. Dress code is holiday festive: wear a fun holiday sweater or your delegation sweatshirt and some dark pants. Volunteer tasks are: water elves (helping kids in the pool - requires one-piece swimsuit); photo helpers helping with Santa pictures; craft helpers; food helpers.  Please email me ASAP with your availability to help. This is a community service event for those of you who need hours.
