Y&G CapCo Combined Bulletin #15: Winter Break is Here!

Happy Winter Holidays! 

Most of the information in this email is a repeat of last week's bulletin - but we want to make sure you've read it. The most important thing on your to-do list, if you haven't done it already, is to make sure you have made your final program payment. All Dylan wants for Christmas is on-time payments. Don't make advisors spend their winter break sending you reminders!  

As we pause our delegation meetings for the next couple of weeks for some needed R&R, the advising team wants to wish all of our delegates and their families a wonderful winter break and a joyous New Year. We're so grateful that each and every one of you are a part of our program. 2017 will bring great things with our final two conferences of the year. 

There will be no bulletin on Dec 26 - make sure you've read this one and act on its information as required - especially when it comes to noting events like mandatory pre-conference meetings and bill boxes work (for SacC delegates).

1.) Final payments were due December 14 (SacCentral) and 15 (El Dorado):  If you have made your final payment, thank you! Your prompt payment is appreciated as we near the end of the budgetary year and the holiday rush reduces our time to send payment reminders. Everyone should have received an email confirming their final balance. If you have a question about your balance, email Dylan ASAP at dotarrow@calymca.org. You can pay online here or over the phone to the YMCA Front Desk at 916-452-9622. You can also drop a check off at the Sacramento Central YMCA (2021 W Street, Sacramento, 95818) during regular business hours, in an envelope attention to Dylan O'Tarrow. Delegates not on an approved extended payment plan must clear their balances by December 31. 

2.) Leadership Applicant Notice: are you a candidate for eleced office? Did you apply for an appointed position or program area? Make sure you review the draft conference schedule when it comes out in January for mandatory meetings. And make sure you check your email daily for updates from program staff about interview times and details. It is YOUR responsibility to make sure you show up prepared and on-time for your interviews! 

2.) MUN Secretariat Applications: The Secretariat oversee and provide leadership to the California YMCA Model United Nations program participants (who are wee small adorable middle school students). For more information on MUN and the Secretariat program, click here. This is great for delegates who like teaching, mentoring, and aiding the leadership development of wee small adorable middle school students and who are responsible and like travel. Applications are still available for non-priority interviews.

3.) Speaker's Bureau: Are you a returning Y&G Delegate? Do you annoy people with your limitless love for our program? Wish you could talk to more people about Y&G? Now's your chance! Apply to the speaker's bureau via Reggo. Questions? Contact Derek or Christiana.
4.) T&EII Schedule: Our next conference will start earlier than the first. We will likely depart between 10-11am on Saturday, January 14. Our return times should remain the same. 

El Dorado News

i.) Meeting schedule: We will not meet on Dec 22 or 29 or Jan 5. Happy Winter Break!

ii.) Pre-Conference and Parent Meetings: Our first meeting of 2017 will take place on January 12 and will be a mandatory pre-conference meeting worth 6 points. Parents are encouraged to attend from 7pm to 7:30pm for pre-conference information. Parents please also note that February 9 will be a mandatory delegate AND PARENT pre-conference meeting (10 points). Add it to your calendars now! Watch the bulletin for more details about these meetings. 

Sacramento Central News:

a.) Bill Boxes: Mark your calendars for BIll Boxes work on January 3 and 4, 2017. A separate email with instructions and the address (NEW address this year!) will hit your inbox during winter break. Watch for it!. 

b.) Meeting schedule: We will not meet on Dec 21 or Dec 28. Meetings resume on January 4, 2017.Special note about Jan 4 meeting: it may take place at the CalYMCA HQ (which is NOT where it was last year). Make sure you watch for updates about the Jan 4 meeting.

El Dorado News

UPDATED: Due to finals week and the impending holiday, the Officer and Advisor Teams have decided to cancel this week's regular delegation meeting. Officers and elected leadership will instead attend a 2017 planning meeting (non officer/elected delegates are not expected to attend).
(Officers, Elected Leadership, Statewide candidates, and those who expressed interest in participating with the YMCA Annual Support Campaign will receive another email from me shortly.

IMPORTANT NOTICE ABOUT PAYMENTS:

Payments are still due this week. Since we won't have a meeting, here are the 3 ways you can submit your payment:
1.) Online any time before 11:59pm on December 15 at https://www.ymcasuperiorcal.org/forms/youth-and-government-payment-page/
2.) In-person to Delegation President Ryan Thoms at the benches outside B3 at Oak Ridge between 12:45 and 1:15pm on Thursday, December 15 (only).
3.) To Christiana at B3 at Oak Ridge between 6:50pm and 7:10pm on Thursday, December 15 (only).

Everyone should have received a reminder about their payment due this week. If you have any questions about what you still owe, let me know ASAP. Unless you are on a pre-approved special payment schedule, final payments are due this week.

-- Pre-Conference and Parent Meetings: Our first meeting of 2017 will take place on January 12 and will be a mandatory pre-conference meeting worth 6 points. -- Points - still a thing! We now move into our family competition. Which family will reign supreme? Points you earned individually will be totalled by family (excluding senior points and previous ML/C points. Meeting attendance still counts! On time payments this week are worth 4 points instead of the usual 3!

Sacramento Central News:

a.) Ice Skating this week! Instead of our usual meeting this week, we'll gather for some winter fun at the Downtown Skating Rink (701 K Street). Bring your holiday cheer and wear something warm as we take to the ice (or stand and watch others take to the ice). Free for delegates (big thank you to Ms. Rapton for providing tickets! ). Parents/family welcome. We will meet at 6pm and skate till 7:30. Parents please note: your delegate must be picked up by 7:30. If you are late, advisors have to stay until you arrive.  If you know you CANNOT attend on Wednesday, please email Christiana to let her know by 12 noon on Wednesday - otherwise we'll expect to see you!

Y&G CapCo Combined Bulletin #13: A Short December, Festive Gatherings, Leadership, and some google forms

As 2016 enters its homestretch, so do we. Here's what you need to know this week:

1.) Last Chance For Leadership Applications: leadership applications have been extended through 11:59pm tomorrow, December 6. Access them through Reggo. If you have questions about any leadership positions, contact Derek (eldo) or Christiana (SaC).

2.) National Judicial Competition: The NJC takes place in Chicago each summer and is a fantastically fun opportunity for those interested in the court programs. You can read about the program here. Only 28 California delegates are selected to participate in this national competition, but our Coalition has a great history of sending delegates! Application is available in your Reggo account. If you love Y&G, love to travel, are team-oriented, and maybe a bit competitive, this program is for you! (Additional program fees are required, Financial Assistance is available. Do not let cost concerns prevent you from applying!) Applications must be approved by December 8. Accordingly, your deadline is December 7 at 11:59pm.

3.) 4.) Bill Supplement Forms must be postmarked by this Thursday, December 8. This means we need all bill supplements completed before then. Bill Authors and Sponsor received an email on Sunday with directions on this important process. If you can't find that email, contact Christiana ASAP.

El Dorado News:
i.) Holiday Party! Our holiday party will be hosted by the Gill Family (thank you, Gill Family!) this Thursday, December 8, from 7-9pm. The Gill residence is located (SEE EMAIL FOR ADDRESS AND ACCESS INFO). Delegates should plan to bring a treat (i.e. food) to share with the delegation (should serve 10). What are you bringing, tell the google form below! Wear your "Polar Express" best! (That's pajamas)

ii.) At our holiday party we will be doing El Dorado's first ever LIVE PROGRAM AREA SELECTION. Attend prepared to select your program area. We'll be going in points-order. You have until noon on Wednesday to raise any concerns about your points.Come prepared to make your selection. Have backups. Your first (or second, or third) may not be available. Be prepared!

iii.) Program Area Proxy Process: won't be at the party? The google form will tell you what to do! 

iv.) GET ONE LAST POINT: Do this google form! It will collect RSVPs for the party (only very rude people don't RSVP and you're all better than that, right?) and it will tell you what to do if you aren't there so you have a shot at getting your program area. OH and if you do it by 11:59pm on Wed Dec 7, you get a point! Form is closed after that!

v.) Meeting schedule: We will have our holiday party this week and our final meeting of 2016 on Thursday, Dec 15. That may be during finals week, but you know you have a meeting every Thursday and you've known about finals, too! Manage your time and make sure you attend our final meeting of the year. We will not meet on Dec 22 or 29 or Jan 5. Our first meeting of 2017 will take place on January 12 and will be a mandatory pre-conference meeting. Parents are encouraged to attend from 7pm to 7:30pm for pre-conference information. Parents please also note that February 9 will be a mandatory delegate AND PARENT pre-conference meeting. Sacramento Central News:
a.) Holiday Party! Our holiday party will again be hosted by the Marcins (thank you, Marcins!). The party takes place this Wednesday, December 7, (SEE EMAIL FOR THE ADDRESS). Plan to be picked up by 8pm. Remember to bring your Secret Santa gift. There is a $10 limit on gifts. If you are unable to attend for any reason, contact Christiana ASAP and see if you can send your secret santa gift with someone else so your assigned person isn't left sad with no presents to open. Here is the list of information for all participants. You should have received the name of your assigned person at the last meeting. If you weren't there, email Christiana. Please bring a dish/treat to share with the delegation. Wear your holiday sweaters or other festive wear. Please complete this Google form to RSVP. 100% participation by Tuesday at 11:59pm = special delegation treat.

b.) Swim With Santa is this Friday at the YMCA! We expect to see Miranda, Dexter, Gus, Brenna Leigh, Victoria, Delaney, and Calvin to volunteer. If you volunteered for in-pool duty, bring a one-piece suit and a towel. If you're land-based for the evening, wear your delegation sweater and all the holiday flair you have (jingle bells, Santa hats, elf shoes, etc). Please arrive as close to 5pm as you can. Plan to be picked up at 8:30 so you can assist with clean up. Please share the event on social media! Here's the FB event.

c.) Meeting schedule: We will have our holiday party this week and our final meeting of 2016 on Wed, Dec 14. We will not meet on Dec 21 or Dec 28. Meetings resume on January 4, 2017.

d.) Bill Boxes: Have you reviewed your availability? Please try to consolidate on days when the most people are available. Y&G CapCo Combined Bulletin #12: We're thankful for you!

Neither delegation meets this week due to the holiday. Enjoy your week off and on behalf of the entire Capitol Coalition advising team, Happy Thanksgiving!  Hope your day is filled with family and food. We're thankful for the opportunity to serve all of our delegates. 

Payment reminder: a payment was due by November 11. If you haven't paid yet, PLEASE make your payment on-line this week. The regular payment is $400. If you have a question about what you owe, contact me ASAP. Chasing down late payments takes up valuable time we'd rather spend focusing on the delegate experience. . 

Here's what you need to know this (short) week:

1.) If you haven't completed the next and final Reggo registration for the year, please do it ASAP. We need all delegates registered by November 23 at 11:59pm. https://calymca.reggo.org/register/events/71

2.) About 14 delegates have still not completed our post-conference survey. If you don't complete it, you greatly decrease your chances of ending up in one of your preferred program areas. Do it now! http://bit.ly/Bob1Survey2016

3.)  Leadership! The next round of elected and appointed leadership applications are due by Friday, December 2 at 11:59pm. You'll find the applications in your reggo registration (for tips on how, click here). For more info on the available positions, click hereNOTE: the deadline on that form is NOT your deadline. Your deadline is, in fact, December 2. Miss that deadline at your (opportunity's) peril. 

4.) EVENT REMINDER: The California International Marathon is coming. If you signed up, you are expected to attend. The race organizers are counting on US. Detailed information will be included in the November 28 Bulletin.

Swim With Santa is coming! Volunteering at this event is a delegation tradition. Sign up today!

El Dorado Notes: Make sure your points are accurate. We still have a few columns of info to input this week. But if you note an error in a column that is mostly completed, let me know ASAP!

Program Area selection will take place at the Dec 8 meeting. Plan to attend both meetings so you don't miss your chance to get your most preferred program area from what's available.

Y&G CapCo Combined Bulletin #11: Super Short Post-Con Edition

Congrats on a great conference weekend! The advising team is very proud of both delegations for their hard work this past weekend. Conferences are long, sleep is short, food is . . . what you expect when you're trying to feed 4000 people, BUT, we hope you had a great time learning more about the program and leadership.

Here are the very few things you need to know this week:

1.) Both delegations will meet this week on their regular days and times. Neither delegation will meet next week due to the Thanksgiving holiday. 

2.) Make sure that you complete this survey ASAP. Your feedback helps improve the conference experience for the future AND we need your input on program area preferences. http://bit.ly/Bob1Survey2016 Your deadline to complete this form is Thursday, November 17 at 11:59pm for BOTH delegations


3.) Model Legislature Bill drafts are due Thursday, November 17th. Members of families whose bills prevailed at Bill Hearing Night should watch for a separate email about what needs to be done this week. 

4.) El Dorado Points: Check your points! If you need a correction or want to challenge missing points, you only have until November 17th. Point for activities since Bill Hearing Night should be updated by tomorrow afternoon. 


5.) Upcoming Leadership opportunities: Another round of elected and appointed leadership is up for grabs at the next conference. The Deadline to apply will be Friday, December 2, 2016. Y&G El Dorado Delegation Bulletin #10: Biggest.Week.Ever.

 (Note: Capitol Coalition Bulletins are not combined this week. Make sure you are reading the correct bulletin for your delegation. Referenced attachments will be in your email inbox.) 

NEWLY ADDED: Check out this link to review your family assignment and your hotel roommate assignment. Regardless of which family you have been meeting with for bill work, you are in the family indicated on this list. No exceptions or changes. Expect an email and a groupme message from your delegation advisor(s) this week. 
 
The coming week is the biggest yet! Bill Hearing Night and our first conference. There is A LOT of important information in this bulletin. Take time to read it! 
Payment Deadline This Week:The closer we get to the end of the year, the more important timely payments are. Make sure you pay online or bring your check to bill hearing night. Regular payment amount is $400. If you have a question about how much you owe this week, contact me ASAP. 
Bill Hearing NightWe'll convene our bill hearing night at the Oak Ridge Theater on November 10. Points: 10 for delegate attendance IN Sac attire. Bonus 2 points for bringing a family member/parent (Sibling inside a delegation doesn't count as a family member. However, siblings can count the same family member guest). You can find the Facebook event listing here.  (Don't forget to "like" our page while you're there!)
Due to the large number of bills, we will divide the evening into two parts. Please note your presentation time. Plan to arrive at least 10 minutes early. Make sure you and your guest check in with the advisor taking roll so you get your points. All delegates are expected to attend at their assigned time. Bill Hearing Night is Mandatory. You are welcome to stay for the other half of the delegate presentations or to arrive early to support your fellow delegates.
5:30-7:00pm: Arico, Durham, Driscoll, Stafford
7:20-9pm: Parish, Melehani, Adams, Merchant, Causley




BILL LANGUAGE: Bills must be FINAL by Wednesday, November 9 at 5pm so we can have them printed for the judges on Thursday. Your bill language drafts can be found here

BILL HEARING NIGHT SPEECHES: Sponsors should prepare a 3 minute introduction speech (for the beginning) and a 2 min summation speech (for the end). Need tips on writing a persuasive speech? Click here. Practice your speech with a timer so you don't get cut off by the clerk! Lobbyists need a 2 min speech.
Please note: Bills that prevail at bill hearing night need to have a primary and secondary sponsor lined up and ready to go who will serve in the legislative houses program during Sac Conference (the Assembly and Senate). Make sure your bill group discusses who will do this. If no one in the bill group is will to serve in the houses to carry your bill, it will not proceed to Sac Conference.  
Conference InformationOur pre-conference letter is attached to this email. It has important info about when we're leaving and what to pack. Please review it. Take a moment to review the code of conduct (found here). I have also attached the conference schedule. You do not need to print it out as you'll get a copy when we get there. New delegates: take a look at the schedule now, it can be confusing to read the first time. Returning delegates and advisors are happy to help you figure out where to be and when! 
Social Responsibility Project- Bring items to the bus, not Bill Hearing Night!
We need more donations for the social responsibility initiative: Operation Care & Comfort. Our category is toiletries. Suggested items to bring are gel deodorant, shampoo, conditioner, lotion, and q-tips. (1 pt for delegates who bring items for the box) 
Sunday Lunch Order:
We will not be stopping for food on the way to the conference, so eat before you arrive at the buses on Friday. On the way back, you have the opportunity to purchase lunch to eat on the bus. You must place your order by 11:59pm on November 10 and you must hand your money to an advisor as you board the bus on Friday. No Money, No Lunch, No exceptions. We recommend you take advantage of this option as it will be a long time from our 8:15am breakfast to our expected 3pm return to Sacramento. Place your order here. Since the Subway is making about 140 sandwiches quickly for us, the menu options are limited and customization isn't possible. Thanks for your understanding.  
CIM Aid Station Volunteering
We will again be staffing aid stations during the California International Marathon on Sunday, December 4 at Super-Early-o'clock in the morning. We need 100 volunteers between both aid stations, so this is an ALL-HANDS event. You are welcome to bring friends and family (classmates who might need service hours?). Please sign up ASAP here. You get 2 points for completing the form. First family with 100% participation on the form gets a bonus point. You earn 8 points for attending the event. 


Points: Check your points! If you need a correction or want to challenge missing points, you only have until November 17th.

CIM Aid Station Volunteering
We will again be staffing aid stations during the California International Marathon on Sunday, December 4 at Super-Early-o'clock in the morning. We need 100 volunteers between both aid stations, so this is an ALL-HANDS event. You are welcome to bring friends and family (classmates who might need service hours?). Please sign up ASAP here. If 100% of the delegation completes this form by 11:59pm on Monday, November 7 and 75% of the delegation signs up to attend the event, we'll have a pizza meeting during the first conference.

You do not need to print it out as you'll get a copy when we get there. New delegates: take a look at the schedule now, it can be confusing to read the first time. Returning delegates and advisors are happy to help you figure out where to be and when!

Social Responsibility Project- Bring Donations November 9Y&G will be partnering with Operation: Care and Comfort to provide care packages for homeless veterans in Fresno and troops overseas. Sacramento Central has been assigned this category: ENTERTAINMENT: Suggested items to bring are pens, pencils, blank writing cards, playing cards, comic books, and AAA and AA batteries. (We have lots of batteries - bring playing cards or other activities!) Please bring your donations to the the November 9 meeting.

Y&G Sac Central Delegation Bulletin #9: Field Day Cancelled; But Full Steam Ahead Elsewhere

EVENT CANCELLATION NOTICE: CapCo Field Day at ORHS tomorrow has been cancelled. We were alerted at about 3:30pm today that due to illness among staff at the school, no one is available to open the campus for us and be present as required by their school policy. We regret to inform you of this so late in the day.

The officer team is considering options for future events.  In the meantime, Gurnoor has suggested a great idea that anyone who now is looking for something fun to do tomorrow meet up at Sky High Sports (11327 Folsom Blvd, Rancho Cordova). This event is not sponsored by the YMCA and is an informal meet up starting at 12 noon for anyone interested.

For those who paid their $10 fee for Field Day, one of two things will happen with that money:

1.) If the officer team plans a subsequent coalition event, the fee will cover food and supplies for that event same as with Field Day or,

2.) If no subsequent event is planned, the $10 will be credited towards your program fee balance.
We are very sorry for any disappointment or inconvenience this has caused.
BILL HEARING NIGHT: We will convene our annual Bill Hearing Night next Wednesday, November 2 at Historic Sacramento City Hall (915 I Street, Sacramento). Delegates must wear professional attire. (See the attached "Sac Attire" dress code).
Delegates must arrive at 6pm. Our event will begin promptly at 6:30 and will run until 8:30pm. Parents and family members are welcome and strongly encouraged to attend!

We have the privilege of having John Laird, Secretary of the California Natural Resources Agency attending to give a welcome address. He is a former Y&G delegate with an accomplished record of public service. After his remarks, bill groups will present their bills. A vote at the end by all in attendance - delegates, family, and guests - determines which bill is sent to the full Model Legislature.
BILL LANGUAGE: By this Sunday, October 30, at 8pm, all bill groups must have finalized their bill language. Your bill language can be found here. BILL HEARING NIGHT SPEECHES:  Need tips on writing a persuasive speech? Click here. Practice your speech with a timer so you don't get cut off by the clerk! If you have questions about the procedure or time limits, contact Gus ASAP!

Bill Authors:
To present your bill at bill hearing night you must either a) be willing to carry the legislation yourself at Sac Conference as the bill sponsor or b) have identified another delegate who is committed to serve in the Legislative Houses program to sponsor the bill on your behalf. Bills with no identified and committed sponsors for the conference will not be eligible for inclusion next week.

Conference Information
Our pre-conference letter is attached to this email. Please review it. Note an addition since the meeting last week: Parents – if at any point during conferences you are out of town yourselves or know you will be unreachable by phone (cruise, flights, mountain climbing, etc), please make sure that you provide me with contact information for whomever will be available and in town to contact in the unlikely event of an emergency.

MANDATORY MEETING THIS WEEK (5pts): November 3 is a mandatory meeting for all El Dorado delegates who expect to attend the first conference. Parents of new delegates are encouraged to attend from 7:00-7:30pm (note new time) for the presentation of our conference information. Absences will only be excused for work or illness and require prior email notification to the Lead Advisor and a confirmation email from a parent/guardian that pre-conference material has been reviewed by the delegate and guardian. We will be reviewing pre-conference information, bill hearing night information, doing rooming assignments, and you will be meeting with your Family Group advisors.

1.) Sacramento Central: ENTERTAINMENT: Suggested items to bring are pens, pencils, blank writing cards, playing cards, comic books, and AAA and AA batteries.
2.) El Dorado: TOILETRIES: Suggested items to bring are gel deodorant, shampoo, conditioner, lotion, and q-tips. (1 pt for delegates who bring items for the box)
Each delegation has a box in which to collect donations. Please bring your donations to this week's meeting.

Bill Hearing Night (Mandatory): We'll convene our bill hearing night at the Oak Ridge Theater on November 10. Points: 10 for delegate attendance IN Sac attire. Bonus 2 points for bringing a family member/parent (Sibling inside a delegation doesn't count as a family member. However, siblings can count the same family member guest). You can find the Facebook event listing here(Don't forget to "like" our page while you're there!)

Meeting attendance/on-time arrival points: Delegates earn 2 points for each regular meeting they attend IF they arrive on time and are in their seats and ready to work by 7pm. Think about how long it takes to check in? Don't arrive at 7pm and expect to earn full points. Meetings START at 7pm. Consider arriving by 6:45 to ensure you get your full points.  Leaving early may also results in a points-deduction. MAKE SURE YOU CHECK IN!

Points: We now award points for meeting attendance, conference registration, and other activities. Points affect your ability to select the program area of your choosing. More points = higher chance you get your first choice.  Don't leave points on the table!

Special Resources Advisors: Our delegation benefits from an amazing advising team who bring a host of talent and experience to their jobs. This year, we're working on establishing Special Resource Advisors who will work with various delegation leadership officers and delegates on program work throughout the year. If you're a delegation officer, check out the list and make sure to introduce yourself to the Special Resource Advisor in your area next week.
