Delegation Bulletin: Less than a month to go!

Thanks for a fantastic weekend, everyone! Bob II was a great success. Your advisors are really proud of the work you did this weekend. Well done!

Meeting Schedule!

No meeting this Wednesday, January 22. Our next meeting is January 30. Bill sponsors (Rose, Alex) and NIC proposal authors (Tony) should be prepared to make presentations!  Time to practice for Sac conference. We will also review our progress on the Delegation of Distinction factors.

Our February 6 meeting IS MANDATORY. That is our final conference preparation meeting. Parents are encouraged to attend.

Link Love!

Here are all the links you need for various applications, valuable information, and more. If you have questions about specifics of any of these, check past bulletins first. Then email your lead advisor.

If you are applying to something that requires an advisor signature or letter of recommendation, let the advisor know, via email, ASAP!
Taxes!
Sac Conference Preview!

You will be required to arrive at the Hyatt hotel on L Street in downtown Sacramento between 10:30 and 11:00am on Thursday, February 14.  You'll need to arrive in Sac attire. We will not check into our hotel rooms until later in the evening on Wednesday. Luggage will be held in a secure room at the convention center. Label your luggage clearly.

Hotel rooms: rooms will be occupied by 4 delegates. Some rooms have 1 king bed, some have 2 queen beds. You won't know in advance how many beds will be in your assigned room. Talk with your roommates in advance about who should bring sleeping bags or whether you will rotate who sleeps in a bed and who camps out.

Meals: We will provide you dinner on Friday and Sunday nights during the conference. Some program areas (Lobbyists), leadership roles, or those participating in the annual fundraising campaign may have an additional meal provided.  All other meals will be on your own. There are many places to get food within our program area boundaries - many of them inexpensive and many places offer delegate specials. We recommend bringing non-perishable breakfast food (bananas, oranges, apples, instant oatmeal, granola bars, etc) because you'll be short on time in the morning and lines for breakfast food can be very, very long. We recommend a budget of between $80-$100 for meals for the weekend, but that depends on your appetite. If you have any concerns about meal budgeting please speak with your lead advisor ASAP. Everyone needs to eat. No one goes hungry.

Sac Attire: We've gone over the dress code several times.  You'll be in dress code from 8:00am until 10:00pm every day. Dress for comfort - especially your footwear.  Break in those new shoes now! If you have questions, please ask an advisor. Some often forgotten things:
  • Guys:
    • You must wear a collared shirt and a tie.
    • Your dress shirt must be covered (suit jacket, sports coat, sweater) at all times. Outdoor coats must be removed in-doors and don't count as a shirt-covering.
  • Girls:
    • Skirts must hit your knees.
    • Leg-coverings must be worn (nylons, tights; can't have patterns; black, nude only - though you could probably get away with navy blue, brown, or dark gray. Don't aim to stand out)
    • No bare-feet even with dress pants - so buy some trouser socks or knee-highs or wear your tights, etc with your dress pants.
Test question: Want a free lunch during Sac conference? Email Christiana with the subject header: "I read the whole bulletin, see!" by Friday, January 25.

Special notes for the hometown crowd: We live here. It's tempting to ask our friends to drop by during the conference. Don't. Pretend we're spending the weekend in Chicago or on Mars. Pretend you're out-of-town. No, you can't have dinner with your significant other on Valentine's Day. Share the love with your delegation instead!  Also, there are in-bounds and out-of-bounds areas of downtown Sacramento during the conference that might not match where you'd rather go to get lunch. We know you know better food places on 18th Street or over on P Street, but you won't be able to visit them during the conference. You cannot go home during the conference to visit or sleep. You can't leave the program area boundaries. This is for your safety and supervision.

Special notes for parents: You've shuttled your delegate to meetings for months. Written large checks. Helped raise money. You want to see it all come together! Unfortunately, the same rules that apply to your delegates apply to you: no visitors.  If your delegate is in one of the legislative houses which will meet inside the California State Capitol, I can't tell you it's okay to come watch them in action. I can tell you that the State Capitol remains a public building, open to the public every day of the week, and that the Senate and Assembly chambers have viewing galleries. What you do with that info is up to you. Participants in other program areas, however, don't meet in public buildings with viewing chambers. If advising staff (any advisors from any Y) or program staff see delegates interacting with people without Y&G badges, we'll intervene and ask non-program participants to leave. Again, this is for the safety and supervision of delegates. Please contact advising staff if you have any questions.

Schedule Items of Interest

In yesterday's bulletin, we included the link to the schedule for this weekend's conference. Please take a few minutes to review the schedule. (You don't need to print it now - you'll be given a copy when we get there.)
http://calymca.org/calymca-wordpress/wp-content/uploads/2013/01/FINAL-65thTE-II-Handbook.pdf

Note: if you have a interview to attend during a schedule program training time, make sure you check-in/out with program staff in that area so they know where you're going. If you have a meeting scheduled during a meal time and need to eat prior to attending, you may proceed to the front of the meal line.  Note II: Don't forget your sleeping bag, pillow, and a twin-sized fitted sheet (not required, but I find it makes things more comfortable).

There are a few things I want to draw to your attention now:

SATURDAY
- Menus for each provided meal are listed in the schedule. If you have an dietary concerns based on what is listed, please let me know ASAP.

- Delegation Presidents' Mixer Saturday from 11-noon (ALBERTO)

- There is a Barracks meeting listed on the schedule. Once we know where our barracks is located in proximity to other afternoon events, we'll determine whether we'll meet at the barracks or have an alternate delegation meeting.

- Future Leaders Campaigners (TONY, ALEX) I believe you will need to attend the leadership meeting at 2:30 on Saturday.  You'll also be attending the campaigner dinner on Saturday evening from 5-6:15 - see the schedule.

- Governor's Cabinet interviews will be posted at 11:30 am at Bldg 5007 and interviews convene at 2:45 Saturday. (ALEX)

- Study/free time begins Saturday night at 10pm. We encourage you to check out the Square Dance also because it's really fun. Seriously. It's awesome.

- There is a midnight curfew to be back in your barracks. Lights are turned out at 12:30am. Promptly.

SUNDAY
- Leadership selections will be posted outside 5008 by 8:30 on Sunday morning.

- Future Leaders Campaigners (TONY, ALEX) have a lunch from 11:45am -1:15pm Sunday.

- Women in Leadership Meeting - Tent 1 - Sunday at 5:30pm (new to the schedule, should be interesting, not limited to gals, obviously)

- Delegation Presidents' Meeting 6:15pm (ALBERTO)

- Everyone must attend a political convention. Even if you pick no political party to join, you'll still need to attend the unaffiliated meeting.

- Delegation Caucus Time - we'll pick a place to meet after we know where our barracks are.

MONDAY
- ALL Delegates and Advisors must pack up their belongings and clean their bunk area (pick up litter, etc) prior to breakfast.  The barracks must be ready for prompt luggage removal and immediate cleaning after the end of joint session.

- After the close of joint session, all delegates must head directly back to their barracks. Everyone helps with barracks clean up. We will have to sweep out the building, mop the floors, and clean the bathrooms (all parts of the bathrooms, yes) and mop bathroom floors QUICKLY!  Ultimately, not everyone will have a mop or broom in hand, but we need all-hands to get the job done quickly. Volunteers who step forward first will be greatly appreciated.  The faster we clean, the faster we are inspected and the faster we're on the road home!

We're Off to Bob!

Yes, there is a meeting tomorrow night (1/16) . . .

Most important Bob II reminders:
1)            Be at the Y by 3:30am on Saturday, January 18.

2)            Pack warm clothes – many layers! It will be COLD this weekend. Especially at night. Your delegation sweatshirt will not be sufficient alone. Remember how cold you were in Tulare? Well now it’s actually wintertime. Adjust accordingly.

3)            Check the weather for Bradley, CA (the specific town in which Camp Roberts is located) so you can be well-prepared in case the forecast changes.

4)            Bring pocket money for breakfast on the way there; lunch on the way home; any snacks or merchandise you want to buy during the conference.

5)            Bring a photo ID – (student ID is fine) this is a requirement for being on the base.

6)            No charging anything once we get there.

And a long list of links:

Hitting the ground running!

Regular meetings return tomorrow! Wednesday, January 9 at 6:30 at the YMCA.

Payments: By tomorrow's meeting, your account should be at $1275 (either through payments or a combination of payments and scholarship credit).  You have received  an individual email from me letting you know your current payment status. Very few of you responded to me to confirm you received and noted the email. This leaves me concerned. Please bring your payments tomorrow or you might not be able to attend Bob II. If a financial hardship has developed, you need to bring a parent with you tomorrow to the meeting and we'll discuss the matter.

Let's Talk About Sac Attire: With only 5(!!!!) weeks until Sac conference - let's talk about wardrobe choices. Attached is the dress code. Also attached is a flyer about "Sac Rack" an optional clothing exchange activity at Bob II that's a low-cost/free way to augment your attire for Sac Conference. We'll review the dress code briefly tomorrow. Please review these documents in advance and come prepared with questions.

Spring Conference: This is an optional conference, April 5-7 in Corcoran, CA. It's a mini Sac-conference. It's fun. It's the first time we're offering it to Sac Central delegates. Would you like to go? Step one: check your calendar. Step two: talk to your parents. Step three: it costs an additional $250 or so in program and transportation fees. We will fundraise between now and then. I would like to know who would like to attend so we know how many spots we might have available for new delegate recruits.  Spring Conference will be the kick-off to our summer social and fundraising events.

Applications everywhere!  Some new opportunities will be discussed at tomorrow's meeting!  Y&G Awards, Youth Board Rep, National Judicial Competition, MUN Secretariat and more!

Conference prep: we'll start discussing this tomorrow. Be there or be uninformed!

A note on attendance: overall, we've had a great year for delegate attendance. Please keep it up! Our last few meetings will be full of information too important to miss.
